Manage accounts and roles
Add people to Brightproof, choose the right role, and understand what happens when an account is removed.
Roles determine whether a person manages the workspace, creates work, or only reviews what has been shared with them. Only admins can manage accounts and roles.
Choose the right role
Admin
Admins can manage all projects and assets, invite reviewers, create checklist templates, and manage user accounts. Give this role only to people responsible for the Brightproof workspace.
Creative team
Creative team members can create, edit, share, archive, and delete every project and asset in the workspace. Brightproof is a shared creative workspace: this role is not limited to work the person personally created.
Creative team members can invite and remove reviewers, manage guest links, set deadlines, attach checklists, and record documented approval overrides.
Reviewer
Reviewers can see only the projects and assets shared with them. They can view the current work, participate in comment threads, complete visible checklist items, and record their own approval or change request.
Reviewers cannot browse unshared work, create assets, manage accounts, or change who else has access.
Add a person
- Open Users from the main navigation.
- Select the option to add or invite a user.
- Enter the person’s email address and display name.
- Choose Admin, Creative team, or Reviewer.
- Confirm the invitation.
The new person receives a magic sign-in link by email. There is no password to set and no self-service sign-up.
Inviting someone directly from a project or asset also creates a reviewer account when the email address is new. Use Users when you need to create an admin or creative team account, or when you want to choose the role explicitly.
Change a person’s role or name
Open Users, find the account, and edit its role or display name.
Role changes take effect across the workspace. Promoting someone to Creative team or Admin gives them access to the shared creative workspace, not only their previous review assignments. Moving someone to Reviewer limits them to their active project and asset invitations.
Before changing a role, review the person’s current responsibilities and assignments so the new access level is intentional.
Review a person’s assignments
The Reviewing information in Users shows the projects and individual assets assigned to a reviewer. Use it to investigate unexpected access or clean up old review responsibilities.
Remember that project and asset invitations are independent. Removing one assignment does not remove another path to the same asset.
Remove an account
Removing an account signs the person out of the workspace and removes their active access. Before proceeding, Brightproof shows the affected assignments and content.
The person’s own comments and review decisions are removed with the account. Projects, assets, and versions they created remain in the workspace and pass to the admin performing the removal.
Account removal is different from removing one review assignment. If the person should keep their account but stop reviewing a project or asset, remove only that assignment.
An admin cannot delete their own account from this screen, and Brightproof prevents removal of the workspace’s last admin.
Manage your own profile
Any signed-in person can change their own display name from the user menu. A person cannot change their own role or email address from their profile.
If someone cannot sign in with the expected address, verify their account under Users rather than creating a duplicate account.
