Archive, restore, or delete work

Retire projects and assets without accidentally losing review history.

Archiving and deleting both remove work from everyday views, but they have very different consequences. In most cases, archive is the right choice because it is reversible.

Archive an asset

  1. Open the asset.
  2. Select the three-dot asset menu.
  3. Select Archive.

The asset disappears from reviewer lists and direct reviewer links stop working. Creative team members and admins can still find it by turning on Show archived.

Archiving preserves versions, comments, decisions, checklists, activity, and uploaded files. Restore the asset when work needs to resume.

Archive a project

Open the project’s menu and select Archive. The project and everything currently inside it become unavailable to reviewers.

The assets themselves are not individually rewritten or deleted. Restoring the project brings the project and its contents back with the same history and access relationships.

Restore archived work

  1. Open Projects or Assets.
  2. Turn on Show archived.
  3. Open the archived project or asset.
  4. Select its three-dot menu, then Restore.

Reviewers regain access according to their current project and asset invitations. Check the reviewer list before restoring sensitive work.

Delete a project

Deleting a project does not delete its assets. The assets become ungrouped and remain in the asset library.

This access change matters: reviewers who could see an asset only through the deleted project lose that access. A direct asset invitation remains active.

Brightproof requires typed confirmation before deletion. Read the consequence shown in the dialog and confirm that ungrouping the assets is what you intend.

Delete an asset

Deleting an asset permanently removes every version, comment, decision, and uploaded or rendered file associated with it. Reviewers lose access immediately.

Deletion can take a moment to finish because Brightproof removes both the review record and private stored files. Once the purge begins, the asset is hidden. Background cleanup finishes any remaining work if the first attempt is interrupted.

Use deletion for mistakes, duplicates, or content that must be permanently removed. Use archive for completed campaigns and historical work you may need later.

Quick decision guide

  • Choose Archive when the work is finished, paused, or temporarily sensitive.
  • Choose Restore when archived work becomes active again.
  • Choose Delete project when the grouping is no longer useful but the assets should remain.
  • Choose Delete asset only when the creative work and its entire review record should be permanently removed.
