Set deadlines and send reminders
Give a review round a due date and remind only the people who still owe a decision.
A review deadline communicates when the current version needs a decision. Brightproof uses the deadline to surface urgency and send focused reminders without repeatedly emailing people who have already responded.
Set a deadline
- Open the current asset.
- Select the Info tab.
- Find Deadline and select Set deadline.
- Choose the date and time, then select Save.
The time is entered and displayed in your local time zone. Reviewers see the due date with the current review round.
Deadlines belong to versions. Uploading a new version starts a new round without a deadline, which prevents an old due date from being applied accidentally to revised work.
Due soon and overdue
Brightproof marks a review Due soon during the 48 hours before its deadline. After the deadline passes, it becomes Overdue while a required reviewer still owes a decision.
The urgency marker disappears when everyone has decided, the asset is approved, the asset returns to draft, or the work is archived.
Automatic reminders
Brightproof sends deadline reminders to internal reviewers who have not recorded a decision on the current version:
- One due-soon reminder can be sent during the final 48 hours.
- An overdue reminder can be sent after the deadline passes.
- A reviewer is not reminded more than once within 24 hours for the same asset.
A person who commented but did not approve or request changes is still pending and may receive a reminder. Comments do not count as a decision.
Send a manual reminder
When a deadline is set, select Remind beside it on the Info tab. Brightproof contacts only reviewers who still owe a decision.
If everyone has responded—or eligible reviewers were reminded during the previous 24 hours—the result says there is nobody to remind.
Manual reminders use the same 24-hour protection as automatic reminders. This keeps the feature useful without flooding a reviewer’s inbox.
Change or clear a deadline
Select Change beside the deadline to choose a new date and time. Select Clear while editing to remove the deadline from the round.
Changing or clearing the deadline does not alter comments, decisions, or status. It only changes the timing information and future reminder eligibility.
If a reminder fails
Email delivery never blocks the review action itself. If a notification fails, the creative team can see the failure on its dashboard and follow up directly while an admin checks the email configuration or recipient address.
